Compare before you commit
The right answer depends on your calls, not the technology
Human answering services have been around for decades. AI receptionists are newer, and often cheaper to run at volume. Neither is right for every business. A salon taking bookings and a solicitor taking calls from people in distress need very different first voices. The useful question is not “AI or human?” but “which of my calls can be handled by rules, and which need judgement?”. Comparing providers against your own calls is the quickest way to find out.

What to compare
- Which calls it can actually handle. Run your ten most common calls past each provider and ask what would happen on each one.
- How it hands over to you, by transfer, text alert or email, and how quickly. The hand-over matters more than the greeting.
- How you are charged: per call, per minute, a monthly bundle or a mix. Work out a typical month with your own call numbers.
- What it says to callers, including whether an AI says it is an AI, and whether calls are recorded.
- The notice period and set-up, so you can try it, and leave if it does not suit.
Side by side
Voicemail, a person or an AI?
How the three common ways of handling missed calls compare. A general guide: each provider is different.
| Feature | Voicemail | Human answering service | AI receptionist |
|---|---|---|---|
| Who answers | Nobody. The caller leaves a message | A trained person, usually in a shared answering centre | An AI agent, in your business’s name |
| Handles unusual calls | No | Yes, within a script | Within the rules you set; passes the rest on |
| Books appointments | No | Often, with access to your diary | Often, where your diary or booking system connects |
| Many calls at once | Yes, as messages | Depends on staffing | Usually yes |
| Evenings and weekends | Yes, as messages | Often, sometimes at extra cost | Usually included |
| Feels like | A missed call | Talking to a receptionist | Talking to an automated assistant that understands everyday wording |
Be honest about your calls
Four kinds of call a person should take
An AI receptionist is good at the predictable: taking details, booking slots, answering common questions. These calls usually need a person, whichever service you choose.
Complaints and upset callers
Someone unhappy with your work usually wants a human. Route these to you or a person straight away.
Sensitive or vulnerable callers
Care, health, legal and financial calls can involve people in difficult situations. A person is often the right first voice.
High-value enquiries
If one call can be worth a large contract, you may want it answered by someone who can build a relationship.
Calls that need judgement
Anything outside the questions you have set, where the right answer depends on experience rather than a rule.

You do not have to choose one
Three ways to combine AI and people
Many businesses end up with a mix. These are the common patterns.
- 1
AI first, person for the rest
The AI takes routine calls, bookings and messages, and passes anything else to you or a human answering service.
- 2
Person in hours, AI out of hours
Your own team or an answering service covers the working day, and AI handles evenings, weekends and holidays.
- 3
AI for overflow
Calls ring your team first, and only go to the AI when everyone is busy or does not pick up.
Cost
How answering services are usually charged
Prices vary too much between providers to quote here, and the cheapest headline price is not always the cheapest month. What matters is how the charging model fits your calls.
Before you compare, pull a month of call data from your phone system: how many calls, how long they last, and when they come in. Then ask each provider to price that month. Our AI receptionist cost guide has a worksheet to compare two quotes.
Per call or per minute
Common for human answering services. Fair if calls are few and short; adds up quickly if calls are long or frequent.
Monthly plan with an allowance
Common for AI receptionists and some human services. Check what happens when you go over the allowance.
Set-up fee
Some providers charge to configure the service and connect your diary. Ask whether it is refundable if you leave early.
Extras
Out-of-hours cover, call recording, a local number, diary connections or extra users can be charged separately.
Switching over
Keep the number customers know
Most answering services, human or AI, work by diverting calls from your existing number, either all the time, when you are busy, or when you do not pick up. Customers keep calling the same number. Check how each provider sets it up and how you switch it off.
Your callers
Tell people how their call is handled
Under UK GDPR, people have a right to be told how their personal information is used. In practice, an AI should say it is an automated assistant, and callers should be told if calls are recorded. Agree the wording with your provider before you go live.

What is a phone answering service?
A service that answers your business calls when you cannot. Traditionally that means trained people in an answering centre who take messages, book appointments and pass on urgent calls. An AI receptionist does a similar job using an AI agent instead of a person.
Is an AI receptionist cheaper than a human answering service?
It can be, but it depends on how many calls you get, how long they last and what you need done. Human services are often charged per call or per minute; AI services often by monthly plan. Compare a typical month using your own call numbers. We do not quote prices.
Will callers know they are talking to an AI?
They should. Good practice is for the AI to say at the start that it is an automated assistant. Most providers let you choose the exact greeting.
Can I keep my business phone number?
Usually yes. Most set-ups divert or forward calls from your existing number to the service, so customers keep calling the number they know. If you move your phone line itself to a new provider, Ofcom’s rules give you the right to take your number with you.
Which is better for a small business?
If most of your calls are simple, such as bookings, messages and common questions, an AI receptionist may be enough. If many calls are complex, sensitive or high value, a person, or a mix of both, may suit you better.
Can an AI receptionist transfer calls to me?
Most can transfer live calls, send you an urgent text or email, or take a message for a callback. You choose which calls go which way.
Are calls recorded?
It depends on the service and your settings. If calls are recorded, the law expects you to make all reasonable efforts to tell callers, usually with a short message at the start, and your privacy notice should say why and how long recordings are kept.
Can I use both an AI and a human answering service?
Yes. Many businesses use AI for routine calls or out-of-hours cover and a person for everything else. Choose A mix of both on the form.
How long does it take to set up?
It depends on the provider and how much you want it to do. A simple message-taking set-up is quicker than one connected to your diary and booking system. Ask each provider for a realistic timescale.
What if the AI gets something wrong?
Read the summaries closely for the first few weeks and adjust the questions and rules. Keep a simple route to a person for anything the AI is unsure about.
