Compare before you commit

The office is empty when the valuer is out valuing

Estate agency runs on appointments outside the office: viewings, valuations, inspections. The phone rings while everyone is out, and again in the evening when people scroll the portals from the sofa. An AI receptionist answers, books the appointment and sticks to what is on the listing. Compare providers on how they win valuations and how carefully they answer property questions.

What to compare

  • Whether it can book into your diary and CRM, so a valuation booked at 9pm shows up for the right valuer in the morning.
  • How it handles valuation calls, which are the calls most worth winning. Ask how fast they reach you.
  • Whether it answers only from your listings, so it never guesses at a lease length, a service charge or a flood risk.
  • How it treats lettings applicants, with the same questions for everyone and no assumptions.
  • How it hands over a hot buyer, such as a cash buyer who wants a second viewing tomorrow.

The call that matters most

A missed valuation call is a missed instruction

A homeowner thinking of selling usually rings two or three agents. The first one to book a visit, at a time that suits the seller, has the best chance of the instruction. If that call goes to voicemail at 7pm, the seller has often booked someone else by 7.15.

An AI receptionist answers every valuation call, asks enough to send the right valuer, and books the visit there and then. It never gives a figure. That is your valuer’s job, and the reason for the visit.

What it asks a seller or landlord

  1. 1The property address and type
  2. 2Selling, letting, or not sure yet
  3. 3Why now, and when they hope to move
  4. 4Whether it is on the market with another agent
  5. 5A time for the valuer to visit

Viewing requests

Buyers and tenants need different questions

The agent books the viewing either way. What it asks first depends on which side of the business the call is for.

Sales: the buyer’s position

  • Which property, and how they found it
  • Do they have a property to sell, and is it on the market or under offer?
  • Mortgage agreed in principle, cash, or still to arrange
  • When they could view, and whether anyone else needs to come

Lettings: the move

  • Which property, and when they want to move
  • Who will live there, so you can confirm the property suits
  • Whether they have pets, so you can discuss the landlord’s position
  • When they could view

Every applicant gets the same questions. Decisions on references, affordability and right to rent checks stay with your team.

Property questions

It answers from the listing, or not at all

Callers ask about tenure, lease length, service charges, parking, broadband and flood risk. Consumer law says agents must not leave out information a buyer or tenant needs to make a decision, and many agencies now publish these details on every listing. Where they are written down, the agent can read them out word for word.

What it must not do is fill a gap. If the lease length is not in the listing, the agent should not guess; it takes the question and a negotiator replies. A wrong answer about a property, even from a machine, is a misleading statement from your agency.

Lettings in England

Rules that change what it can say

Letting agents work under detailed rules on fees, deposits and checks. Set the agent up with your current wording and review it when the law changes.

Fees and holding deposits

Most fees to tenants are banned, a holding deposit is capped at one week’s rent, and a tenancy deposit at five weeks’ rent (six if the annual rent is £50,000 or more). The agent should only quote payments you are allowed to take.

Right to rent

Tenants’ right to rent must be checked before the tenancy starts. The agent can tell applicants which documents to bring; the check stays with your team.

No rental bidding

Since 1 May 2026, landlords and agents in England must not invite or accept offers above the advertised rent, and rent in advance is capped at one month. The agent gives the advertised rent and nothing else.

Questions

AI receptionists for estate agents: your questions

Calling back portal leads is close to sales work: see the AI sales agent page for the rules. Also see solicitors, for the conveyancing side of a move.

Compare AI receptionists

What does an AI receptionist do for an estate agent?

It answers the office phone when your team is out on viewings or valuations, and in the evenings when people browse property portals. It books valuations and viewings, answers questions from the listing, takes offers as messages for a negotiator, and sends you a summary.

Can it book valuations?

Yes. It asks the address, the type of property, why they are thinking of selling or letting, and their timescale, then books a slot with a valuer. A valuation enquiry is often a seller talking to several agents, so speed matters.

Can it give a valuation over the phone?

It should not. A figure given by a machine on the phone can set a seller’s expectations and undermine your valuer. It can explain how your valuation works and book the visit.

Can it take offers?

It can take an offer as a message and pass it to the negotiator straight away, with the buyer’s position. It should not accept, reject or comment on an offer. You must pass offers to the seller, so speed matters here too.

What can it tell callers about a property?

What is in your listing and nothing more: price or rent, tenure, council tax band, size, and the other material information you publish. If the answer is not in the listing, it takes the question for a negotiator.

Can it handle lettings?

Yes. It can book viewings and take applicant details. It should ask every applicant the same questions and leave decisions about suitability, references and right to rent checks to your team.

Does it work with my CRM?

Some services connect to common estate agency software, so viewings and valuations land in the right diary with the applicant’s details. Others send you a summary to enter yourself. Tell us what you use and we match you with providers that fit.

Will callers know it is an AI?

They should. A short line at the start is enough. People want the viewing booked, and an honest greeting does not slow that down.

Can it call back portal leads?

Some services can call or text people who enquired through a property portal, at a time you choose, to offer a viewing. Check the rules on marketing calls before you use it for anything beyond replying to an enquiry.

Can it answer only out of hours?

Yes. Many agents use it for evenings, Sundays and lunch, and when the office is empty because everyone is out on appointments.
