Compare before you commit
Take the chasing off your team, not the judgement
Ask any practice where the hours go and the answer is rarely the accounts themselves. It is the chasing: records that have not arrived, clients asking for updates, paperwork for new clients, and the same questions every January. That is the work AI assistants are good at. What separates providers is how well they connect to your practice systems, how carefully they handle client data, and how firmly they keep out of advice. Compare those before the features.

What to compare
- What it connects to. Your practice management system, client portal and email. An assistant that cannot see who has sent what will chase the wrong clients.
- Where client data goes, how long it is kept, and whether the provider signs a data processing agreement. Your clients’ financial affairs are the most sensitive thing you hold.
- What it is allowed to say. Status updates and reminders, yes. Tax advice, no. Check you can set that boundary firmly.
- How it handles the peaks, such as quarterly deadlines and January, when contact volumes rise sharply.
- How your team reviews its work, with transcripts and summaries filed against the client record.
The practice year
Where the routine work piles up
Making Tax Digital adds a quarterly rhythm to a year that already had a January peak.
Every quarter
MTD updates
Clients in Making Tax Digital for Income Tax send quarterly updates. That means four rounds of reminders and record-chasing a year, not one.
Autumn
Records season
Self assessment clients start sending paperwork, often incomplete. Most of the work is chasing what is missing.
January
The peak
The 31 January self assessment deadline brings the year’s busiest phones and inboxes. Routine queries crowd out real work.
All year
New clients
Enquiries, onboarding paperwork and engagement letters arrive whenever a business starts or switches accountant.
What it can take on
Six jobs an AI assistant can do in a practice
Answers routine client queries
“Have you got my bank statements?”, “When is my payment due?”, “Did you file my return?”, answered from your records and approved wording.
Chases missing records
Polite, persistent reminders for receipts, statements and quarterly figures, stopping as soon as they arrive.
Collects documents
Asks for the right documents, checks something has been sent, and files it against the client, ready for your team.
Handles new enquiries
Takes details from prospective clients, explains your services in your words and books a discovery call.
Books meetings
Year-end meetings, tax planning reviews and onboarding calls, straight into your diary.
Prepares onboarding admin
Gathers the information your onboarding process needs, so your team can complete the checks they are responsible for.

Making Tax Digital
More clients, four times a year
Making Tax Digital for Income Tax is bringing sole traders and landlords into quarterly digital reporting in three stages. Each stage adds clients who need reminding, chasing and reassuring every quarter.
April 2026
Making Tax Digital for Income Tax started for sole traders and landlords with qualifying income over £50,000, about 780,000 people, according to HMRC
April 2027
The threshold falls to £30,000, bringing in about 970,000 more
April 2028
The threshold falls again, to £20,000
For the rules themselves, see our MTD for Income Tax guide.
Professional judgement
What stays with your qualified team
Clients pay a practice for judgement and accountability. An AI assistant should make room for that work, never stand in for it. Draw the line clearly when you set it up, and make sure it hands over the moment a client question moves into advice.
Your professional body’s rules on confidentiality and client care apply to everything the assistant does in your practice’s name.
Keep these with people
- Tax and accounting advice of any kind
- Anti-money laundering decisions and sign-off
- Reviewing and filing returns and accounts
- Fee discussions and engagement terms
- Anything a client is unhappy about

Questions
AI for accountants questions
See all AI agents, or AI email assistants for client inboxes.
Compare AI for accountantsWhat can AI do for an accountancy practice?
Mostly the work around the accounting: answering routine client queries, chasing missing records, collecting documents, handling new enquiries and booking meetings. That frees qualified staff for the work only they can do.
Can AI give clients tax advice?
It should not. Set it up to give status updates, reminders and approved information only, and to pass any question that needs judgement to a qualified member of your team.
Is it safe to use AI with client financial data?
It can be, with the right provider and set-up. Your practice remains responsible for client data under UK GDPR. Check where data is processed and stored, how long it is kept, who can access it, and get a data processing agreement. Your professional body’s confidentiality rules still apply.
How does it help with Making Tax Digital?
MTD for Income Tax means quarterly updates, so clients need reminders and records four times a year rather than once. An AI assistant can run those reminder and chasing cycles. See our Making Tax Digital guides for the rules.
Does it work with practice management software?
Many providers connect to practice management systems, client portals and email, so the assistant knows which clients have sent what. Tell us what you use and we match you with providers that fit.
Can it help with anti-money laundering checks?
It can gather the information and documents your process needs. The checks themselves, and the decisions, remain your firm’s responsibility under the money laundering regulations.
Will clients know they are dealing with AI?
They should. Tell clients when they are talking to an AI assistant, and make it easy to reach a person. Clients of professional firms expect openness.
Is this different from an AI receptionist for accountants?
An AI receptionist answers your phone. This page is about AI across the practice, including chasing, document collection and onboarding. Many providers offer both. See AI receptionists for accountants.
Will it help in January?
That is where it tends to help most, by handling the routine “have you got my…” and “when is my…” contacts so staff can focus on returns.
How much does it cost?
Providers charge in different ways, often a monthly fee based on volume and features. We do not quote prices. Compare a few providers against your own client numbers.
