Compare before you commit
The first call is where a client decides whether to trust you
New clients often ring several firms. The one that answers, understands what kind of matter it is and books a consultation tends to get the instruction. But a law firm cannot treat its phone like any other front desk: confidentiality, conflict checks and the line between information and advice all start at the first call. Compare AI receptionists on how they handle those, not on how natural the voice sounds.
- 1

A minute on the form: what you need help with, your business and how busy the phones are.
- 2
We match providers
Your request goes to UK AI agent providers that suit your size and the way you work.

What to compare
- How it handles the line between information and advice. Ask each provider to show you what happens when a caller asks “do I have a case?”.
- Where call recordings and transcripts are stored, who can see them, and how long they are kept. Client confidentiality starts at the first call.
- Whether it can route by department, so a conveyancing enquiry and a family matter reach the right team.
- What it does with a caller in distress, which in some areas of law is a normal day.
- How it connects to your case management system or diary, if at all.
First-contact intake
Four questions, in this order
The order matters. Asking who the other party is before the caller tells their story lets your firm check for a conflict before anyone has heard the details.
Agree the exact questions with your compliance lead, and adjust them by department.
- 1
Which area of law
Conveyancing, family, wills and probate, employment, personal injury, commercial, and so on. This decides where the enquiry goes.
- 2
Who the other party is
The name of the other side, if there is one, so your firm can run a conflict check before anyone hears the details.
- 3
How urgent it is
Court dates, completion dates, limitation periods the caller knows of, or someone at immediate risk.
- 4
Funding and next step
Private client, business, insurance or other funding, and a consultation booked or a callback arranged.
The line
Information it can give, and advice it must not
It can
- Say which areas of law the firm covers
- Explain how a first consultation works
- Share price information the firm publishes
- Give office hours, location and parking
- Book a consultation or arrange a callback
It must not
- Say whether the caller has a case
- Comment on deadlines or what to do next
- Estimate outcomes or compensation
- Give, confirm or change bank details
- Discuss another client’s matter
Payment diversion fraud
Bank details never go through the AI
Criminals target law firm clients, especially in property transactions, with messages that appear to change the firm’s bank details. The Law Society advises clients to get bank details in person or by phone, to call the firm on its published number rather than one in an email, and to remember that firms rarely change their bank details.
Build that into your AI receptionist. It should never give, confirm or change bank details, and when a caller asks, it should repeat your firm’s standard warning and pass them to the right person.

Professional duties
Confidentiality and care start at hello
Confidential from the first word
Your duty of confidentiality covers what a prospective client tells you. Know where recordings and transcripts go, who can see them, and how long they are kept.
Callers in distress
Family breakdown, an arrest, an injury, a bereavement. Agree how the agent slows down, stays calm, and gets the caller to a person quickly.
Open about AI
Say at the start that the caller is speaking to the firm’s AI assistant. Clients of professional firms expect to be told.
Questions
AI receptionists for solicitors: your questions

Compare AI receptionistsWhat does an AI receptionist do for a law firm?
It answers calls when your team cannot, takes new enquiries by matter type, captures the details your intake process needs, books consultations and passes urgent calls on. It gives information you have approved, never legal advice.
Will it give callers legal advice?
It should not, and you should test it on exactly that. Set it to take the facts the caller offers and pass any question about their position, options or chances to a qualified person.
How does it help with conflict checks?
It can ask for the name of the other party early in the call and record it before the caller goes into detail, so your firm can check for conflicts before anyone discusses the matter.
Can it give callers our prices?
It can share the price information you publish. Under the SRA Transparency Rules, firms must publish prices for services such as residential conveyancing, uncontested probate and some employment, immigration, motoring and debt recovery work, so the agent can point callers to them. Bespoke quotes stay with fee earners.
What should it say about bank details?
Nothing, except your firm’s standard warning. Payment diversion fraud targets law firm clients, so set the agent never to give, confirm or change bank details, and to repeat your advice to check details by phone with a known contact.
Is client information confidential?
Your duty of confidentiality applies from the first contact. Choose a provider that tells you where recordings and transcripts are stored, limits who can access them, and signs a data processing agreement.
What about callers who are upset or vulnerable?
In family, criminal, immigration and personal injury work especially, many callers are distressed. Agree how the agent recognises this, speaks calmly, and gets them to a person quickly.
Can it route calls to the right department?
Yes. Matter type is usually the first question, and calls or summaries can go straight to the right team or fee earner.
Will callers know it is an AI?
They should. A short line in the greeting is good practice, and clients of professional firms expect openness.
Can it work out of hours?
Yes. Evening and weekend enquiries are taken and booked or queued for the morning, with anything urgent flagged as you decide.
