Compare before you commit

For a plumber, the first question matters more than the greeting

Every AI receptionist can say hello in your business’s name. What matters for a plumber is what it asks next. A caller who smells gas, a caller with water coming through the ceiling and a caller who wants a quote for a new bathroom all need different things in the first ten seconds. Compare providers on how they sort those calls, how fast the urgent ones reach you, and whether they can book the rest without you.

  1. 1

    Tell us once

A minute on the form: what you need help with, your business and how busy the phones are.

  2. 2

    We match providers

Your request goes to UK AI agent providers that suit your size and the way you work.

  3. 3

    You choose

Compare what they offer, try it, and only go ahead if it fits. There is no obligation.

What to compare

  • How it handles a gas smell. It should give the emergency number straight away and end the booking conversation. Ask each provider to show you the exact wording.
  • How fast urgent calls reach you, by live transfer or a text alert, not an email you read at the end of the day.
  • Whether it can book into your job software or only takes messages for you to enter yourself.
  • How it copes with the winter rush, when boiler calls arrive together on the first cold morning.
  • What it says about prices. Call-out fees and free quotes, if you want; everything else stays with you.

Call triage

Five kinds of call, from most to least urgent

A starting set of rules to agree with your provider. You can change the questions and the order.

  1. Gas smell

Give the emergency number. Do not book.

The agent tells the caller to call the National Gas Emergency Service on 0800 111 999 straight away, and to follow the official safety advice: no smoking, flames or light switches, open doors and windows, turn the gas off at the meter unless it is in a cellar, and call from somewhere safe. Then it alerts you.

  2. Active leak

Stop-tap first, then put it through.

It asks whether water is still escaping and whether they know where the stop tap is, then transfers the call or sends you an urgent alert with the address.

  3. No heat or hot water

    Urgent, with the right details.

Boiler make and model, any fault code on the display, whether anyone vulnerable is in the house. You decide how quickly these come back to you.

  4. Routine repair

    Book it in.

Dripping taps, a slow drain, a radiator that will not warm up: it offers a slot from your diary or takes details for a callback.

  5. Quote or service

    Qualify and schedule.

New bathroom, boiler replacement, annual service: it asks what they want, where and when, and books a visit if your diary allows.

When it matters most

Built for the weeks your phone does not stop

Plumbing and heating calls are not spread evenly through the year. An AI receptionist earns its keep in the busy weeks, when you are already on a job and the next three callers all need someone today.

The first cold snap

Boilers that sat idle all summer get switched on the same week. Calls come in together, often while you are already on a breakdown.

Christmas and New Year

Families at home, offices closed, and plenty of callers who just want to know when someone can come.

Freeze and thaw

Burst pipes rarely come one at a time. Fast triage decides who you reach first.

Repeat work

Landlord gas safety checks, booked every year

Landlords must have the gas appliances in their rented properties checked every 12 months by a Gas Safe registered engineer, and keep a record. For a heating engineer, that is work that comes back every year, if the booking is easy.

An AI receptionist can take these bookings from landlords and letting agents, collect the details you need before the visit, and, where your system allows, offer a reminder for the next one.

What it can collect for a landlord booking

  • The property address and the landlord or agent’s details
  • When the last gas safety check was done
  • How many gas appliances are in the property
  • Tenant contact details and access arrangements
  • Whether they want a reminder before next year’s check

Set before go-live

Four rules your AI receptionist should never bend

Gas smell means the emergency line

Every time, before anything else. No booking, no callback first.

No diagnosis over the phone

It takes symptoms and fault codes. It does not tell people what is wrong or what to fix themselves.

Only your published prices

Call-out fee and free quotes if you choose. No estimates for work it has not seen.

Say it is an AI

A short line in the greeting. Callers who find out later trust you less.

Compare AI receptionists

What does an AI receptionist do for a plumber?

It answers your business line when you cannot, usually because your hands are full. It greets callers in your business’s name, works out how urgent the job is, takes the address and the details, and sends you a summary. Urgent calls can be passed straight to you.

What happens if someone calls about a gas leak?

The agent should tell them to call the National Gas Emergency Service on 0800 111 999 immediately and follow the safety advice, not book an appointment. Agree that wording with your provider before you go live, and test it.

Can it book boiler services and landlord gas safety checks?

Yes, if your diary or job software connects. Landlords must have gas appliances checked every year, so these bookings repeat. The agent can take the property details and offer reminders.

Can it tell callers I am Gas Safe registered?

Yes, in wording you approve. Gas work must by law be done by a Gas Safe registered engineer, and customers can check an engineer on the Gas Safe Register by licence number. The agent can explain that and give your registration details.

Will it give customers prices?

Only what you allow. Many plumbers let it confirm a call-out fee or that quotes are free, and leave everything else for a conversation with you.

Can it tell an emergency from a routine job?

It asks the questions you choose, such as whether water is still escaping or whether there is any heating at all, and treats the call as urgent based on the answers.

Does it work with my job management software?

Some services connect to common job and diary tools; others send you the details to enter yourself. Tell us what you use and we match you with providers that fit.

What if I would rather answer myself?

Most services can ring you first and only answer if you do not pick up, or only cover evenings and weekends. You decide when it steps in.

Will callers know it is an AI?

They should. A short greeting that says it is your AI assistant is good practice, and most callers just want their problem taken down quickly.

Can it check that a caller’s area is one I cover?

Yes. It can ask for the postcode first and politely explain if the address is outside the area you work in.

What about out-of-hours call-outs?

You choose: pass genuine emergencies to your mobile, take details for the morning, or give your out-of-hours rate if you offer one.
