Your reception team cannot answer two phones and greet a patient

Dental reception is one of the hardest front desks to run: patients at the desk, a surgery running late, and the phone ringing with check-ups, cancellations and someone in pain. An AI receptionist can take the routine calls off that desk. For a practice, the providers worth shortlisting are the ones that connect to your appointment system, handle patient data with real care, and know exactly where the clinical line is.

What to compare

  • Which practice management system it connects to, so it can see real appointment slots rather than taking messages.
  • How it handles a patient in pain, including what it says out of hours, in wording your clinical team has approved.
  • Where patient information is processed and stored, and whether the provider will sign a data processing agreement suitable for health data.
  • NHS and private enquiries: can it explain which you offer, and take the right details for each?
  • How quickly a cancelled slot is offered to someone on your waiting list.

The first hour

When the phones open, everyone calls at once

Patients in pain overnight, parents booking before school, people rearranging around work: many practices find the first hour is the hardest to answer. An AI receptionist answers every caller straight away, books the routine ones, and puts the urgent ones in front of your team with their details already taken, instead of in a queue.

Call by call

Five kinds of call, and who should take each

  • AI can handle

    New patient

NHS or private? Adult or child? Any urgent problem now? It explains what you offer and books or waitlists the patient.

  • AI can handle

    Recall or check-up

Existing patient due a check-up or hygienist visit. Offers slots and confirms.

  • AI can handle

    Cancellation or change

Moves the appointment, frees the slot, and where your system allows, offers it to someone waiting.

  • Pass to your team

    Pain or swelling

Takes details and passes to your team in hours. Out of hours, gives your approved urgent-care message, including NHS 111.

  • Pass to your team

    Treatment question

“Do I need a crown?”, “Is this normal after an extraction?” Clinical questions go to a clinician, always.

The clinical line

It books appointments. It does not assess teeth.

The safest AI receptionists for healthcare are the ones that know what they are not. Write the boundary down with your clinical lead before go-live:

  • It never says whether a symptom is serious or not
  • It never suggests painkillers, rinses or home remedies
  • It uses only urgent-care wording your clinicians have approved
  • Out of hours, it gives your arrangements and NHS 111 for urgent care
  • Anything it is unsure about goes to a person

Patient data

Health information needs more care, not less

A patient describing their symptoms is giving you health information, which UK GDPR treats as special category data. Your practice remains responsible for it, whoever answers the phone. Ask every provider the same questions, and get the answers in writing.

Where is it processed and stored?

Including any sub-processors the provider uses.

Who can see call recordings and transcripts?

And how access is controlled and logged.

How long is it kept?

No longer than your practice needs.

Will you sign a data processing agreement?

One that reflects health data, not a generic template.

Compare AI receptionists

What can an AI receptionist do for a dental practice?

It answers calls your reception team cannot reach, books and moves routine appointments, takes new patient enquiries, and passes pain and clinical questions to your team. It is most useful at the busiest times of the day and out of hours.

Will it give patients clinical advice?

It should not. Set it to take symptoms and pass them to your clinical team, and to use only wording your clinicians have approved for urgent situations.

What does it say to a patient in pain out of hours?

Whatever your practice approves. Typically that is your own out-of-hours arrangements and, for urgent care, a reminder that NHS 111 can help. Agree and test the wording before going live.

Can it take new NHS patients?

It can explain whether you are currently accepting NHS patients, take their details and book or waitlist them. Patients do not register with a dentist the way they do with a GP, so clear information helps.

Can it tell patients the NHS charges?

Yes. In England from 1 April 2026 the NHS charges are £27.90 for Band 1 and urgent treatment, £76.60 for Band 2 and £332.10 for Band 3. Keep the figures in the agent up to date each April, and leave treatment plans to your team.

Is patient health information safe with an AI provider?

Health information is special category data under UK GDPR, so it needs extra care. Choose a provider that tells you where data is processed and stored, limits who can see it, keeps it only as long as needed, and signs a data processing agreement.

Does it work with dental practice management software?

Some providers connect to common dental systems to see and book real slots; others take messages. Tell us what you use and we match you with providers that fit.

Can it fill cancellations?

If it connects to your diary and waiting list, it can offer a freed slot to waiting patients by text or call, depending on what the provider supports and what patients have agreed to.

Will patients know they are speaking to an AI?

They should. A short greeting that says it is the practice’s AI assistant is good practice, with an easy way to reach the reception team.

Can it handle private treatment enquiries?

Yes, within your approved information: which treatments you offer, whether consultations are free or paid, and booking a consultation. Prices and treatment plans stay with your team.
