Compare before you commit
A garage phone is a booking desk. Compare it like one.
Most calls to a garage are bookings, and most bookings follow the same pattern: registration, what it needs, when. That makes garages one of the best fits for an AI receptionist. The differences between providers are in the details that matter on a busy forecourt: whether bookings go straight into your system, whether the registration is captured correctly, and whether customers get a confirmation that stops them turning up on the wrong day.

What to compare
- Whether it books straight into your garage system, or only takes messages. Double-booked bays cost more than missed calls.
- How it captures the vehicle: registration first, then make, model and mileage, spelled back to the caller.
- Confirmations and reminders by text, so customers turn up, and turn up on the right day.
- What it says about prices, such as your MOT fee and fixed-price services, and what it leaves for a technician.
- How it hands over a breakdown or a safety worry to a person straight away.
Bookings
Four bookings, and what to capture for each
Registration first, every time. Everything else follows from the vehicle.
MOT
- Registration
- Current MOT expiry date
- Preferred day, and whether they will wait
The quickest booking to automate, and the one with the clearest annual cycle.
Service
- Registration and mileage
- Interim or full service, or the manufacturer schedule
- Whether they want it with the MOT
Combining MOT and service in one visit is easy to offer on every call.
Repair or diagnostic
- Registration
- Symptoms in the customer’s words
- Warning lights, noises, when it happens
It records symptoms; your technician diagnoses.
Tyres, brakes, air con
- Registration and tyre size if known
- Which job, how many
- Drop-off or wait
Simple slots that fill gaps in the bay diary.
The MOT calendar
Every car comes back once a year
In Great Britain a car needs its first MOT by the third anniversary of its registration, then one every year. A car can be tested up to a month, less a day, before the current certificate runs out and keep the same renewal date.
That early window is useful on the phone. When a customer calls about a slot that is already full, the agent can offer earlier dates without the customer losing any time on their MOT.

After the call
An empty bay costs more than a missed call
The booking is only half the job. These three steps help customers actually turn up.
- 1
Read it back
The registration, the date and the time, repeated to the caller before the call ends.
- 2
Confirm by text
A short confirmation with the date, time, address and what to bring, if your provider supports texts.
- 3
Remind the day before
A reminder that makes it easy to rebook rather than simply not arrive.
Questions it should leave to you
“Will it pass?” is a technician’s question
Customers often ask the phone what only a technician can answer. A well set-up AI receptionist records the question and the symptoms, and books the car in. It does not guess.
- Whether a car will pass its MOT
- What a warning light or noise means
- Whether a car is safe to drive
- Repair estimates for work not yet seen
- Anything about a dispute over previous work
Questions
AI receptionists for garages: your questions

Compare AI receptionistsWhat does an AI receptionist do for a garage?
It answers your phone while technicians are working, takes the vehicle registration and what the customer needs, and books MOTs, services and repairs into your diary where your system allows. Everything else becomes a summary for your team.
Can it book MOTs directly?
Yes, if it connects to your garage management system or diary. Otherwise it takes the details and preferred times for you to confirm.
When is a car’s first MOT due?
In Great Britain, a car normally needs its first MOT by the third anniversary of its registration. The agent can explain this to callers buying their first new car.
Can customers book their MOT early?
Yes. A car can be tested up to a month, less a day, before its MOT runs out and keep the same renewal date. That gives the agent a window to offer earlier slots without the customer losing time on their certificate.
Is the first MOT moving to four years?
No. The government consulted in 2023 on moving the first MOT to four years and announced in January 2024 that it did not intend to go ahead. The first MOT stays at three years.
What if a customer’s MOT has already run out?
The agent can book the earliest slot and remind them, in your approved wording, that driving without a valid MOT can lead to a fine of up to £1,000.
Will it tell customers whether their car will pass?
It should not. Set it to record what the customer has noticed and leave any opinion on the car to your technicians.
Can it send reminders?
Many providers can send booking confirmations and reminders by text. Annual MOT reminders depend on your system and on the customer’s agreement to be contacted.
What about breakdowns and recovery calls?
Decide in advance. Most garages have breakdown and safety calls passed straight to a person, with the location and registration taken first.
Can it quote prices?
It can give the prices you publish, such as your MOT fee or fixed-price services. Repair estimates stay with your team.
Will customers know it is an AI?
They should. A short line in the greeting is enough. Most callers just want a slot and a confirmation text.
Does it work outside opening hours?
Yes. Evening and weekend callers can book or leave details, which is often when people remember their MOT is due.
