In plain English

What is an AI agent?

An AI agent is software that can hold a simple conversation by phone, chat or email, follow the steps you have agreed and pass the result to a person. For a small business that usually means answering calls in your business’s name, taking the caller’s details, booking appointments and sending you a summary. It only does what you have told it to do, and it hands over to you when it is unsure.

Good to know. An AI agent is not a person and should not pretend to be one.

Who it’s for

AI agents for your type of business

Every business answers the phone differently. Choose yours to see what an AI agent could take on.

How it works

Four steps, and you stay in control.

  1. 1

    Tell us about your business

What you do, how many people work for you and what you would like help with.

  2. 2

    We match you with providers

Your request goes to UK AI agent providers that suit your size and the way you work.

  3. 3

    Agree the rules

You decide what the agent says, what it can do and when it passes to a person.

  4. 4

    Go live and review

Compare what providers offer, try it, and only go ahead if it fits.

What to look for

Four things a good AI agent should do

  • A person stays in charge

The agent should hand over to you or a member of staff when it is unsure or the caller asks.

  • You approve what it says

Agree the greeting, the questions and the limits before it goes live, and change them when you need to.

  • Clear that it is an AI

Callers should be told they are speaking to an AI assistant. The ICO asks organisations to be upfront when AI is used.

  • Your data, handled properly

Ask where call data is stored, how long it is kept and for a data processing agreement under UK GDPR.

Questions

Your questions, answered

Will my customers know they are speaking to an AI?

They should. Good practice, and the ICO’s guidance on being transparent with people, is to tell callers they are speaking to an automated assistant. Most providers let you choose the greeting, so it can say who you are and that it is an AI assistant.

What happens when the AI agent cannot help?

You decide. Most services can transfer the call to you or a member of staff, take a message for a callback, or send you an urgent alert. Ask each provider how the hand-over works and test it before you go live.

How much does an AI agent cost?

Most providers charge a monthly fee. The price depends on how many calls or messages it handles and which features you need, such as appointment booking, call transfers or a local number. Comparing a few providers is the easiest way to see what fits your budget.

Can it use my existing phone number?

Usually yes. Most services work by forwarding calls from your existing number, either all the time or only when you do not answer, so customers keep calling the number they already know.

What happens to my customers’ data?

You remain responsible for the personal data your business collects under UK GDPR. Check that the provider stores call data securely, signs a data processing agreement, tells you where the data is held and how long it is kept, and tells callers if calls are recorded.
